Bee Athletic Boosters Meeting Minutes
November 3, 2008

- Opening Remarks
Mark Wirkus called the meeting to order at 7:00 p.m. on November 3, 2008 at the High School Media Center.
Please make sure that all attendees complete the sign-up sheet that is passed around at each meeting.
- Secretary's Report
Motion to approve the October minutes, pending a correction to show $2,000 as an approved allocation request for the portable public address system passed unanimously.
- Treasurer's Report
Mike reported that we have $78,000 in unrestricted Booster funds, of which $14,000 is committed to other projects but not yet spent. This leaves $64,000 of uncommitted general funds as of October 31, 2008. We also have another $2,000 from concessions that will be deposited in our account shortly. There is a memo amount of $4,905 that is still due from the Athletic Department for winter concessions from 2008.
- Membership Report
Cathy reported total ytd membership revenues of $42,130 with a total of 259 members.
- Team Reports
Team reps gave their reports on another very successful fall season. Highlights include:
The girls Tennis Team won Southwest Conference Championship and finished 2nd in the State Tournament for the first time in school history!
The girls Volleyball Team has made it all the way to the Final Four and will play against Olmsted Falls on Thursday, November 6th at Wright State University in Dayton, OH at 4:00 p.m.
The boy's varsity Football team won the Southwest Conference Championship (shared with Avon Lake) and advanced to the State Playoff Game losing to Glenville. The group of seniors on this year's team is the first ever to qualify for the state playoffs two times in their high school career!
The girls Middle School Cross Country Team won the SWC.
The boys High School Cross Country Team won the SWC, took fourth place in the District meet, and finished in sixth place at the Regional meet.
The girls High School Cross Country Team won the SWC for the fourth year in a row, took third place in the District meet, and finished in fifth place at the Regional meet.
The boys High School Soccer Team won its first playoff game, but lost the second to North Royalton in double overtime with 1:59 left.
The girls High School Soccer Team won the SWC but lost a heart-breaking playoff game to North Royalton in a double overtime, shoot out, 1 - 0.
The Girls Softball team is having a murder mystery dinner fund-raiser on November 8, 2008 at St. Sava's Church.
- Athletic Department Report
Dan expressed congratulations to all of this year's fall sports teams for a truly successful season. Special emphasis was expressed to the girls volleyball team which is still in contention for a State Championship.
The school has arranged for Spirit buses to transport students to and from the volleyball match in Dayton. Details are out on the High School website already. Bernie will send an email announcement with match and transportation details to the Booster distribution list too.
At the recent football playoff game against Glenville, the stands were completely full and Dan noted that many alumni and other residents of our School District were among the crowd. It was great to see the enthusiasm.
The SWC Cheerleading competition will be held on Monday, November 10th at 7:00 p.m. in Berea.
- Allocation Requests
Dan asked the Boosters to support a small shortfall in the funding needed for the volleyball Spirit buses. Student cost will be $20 including the $7 ticket price for the match. Each bus will cost about $900 and carry 55 students - the shortfall per bus is expected to be around $200.
Dan also requested $2,500 to contribute to the Middle School gymnasium score boards. They were originally built in the 1960's and need to be replaced. Total cost of the project will be about $9,800 and the balance of the funding will come from the Athletic Department and another donor.
- BEE Athletic Boosters Projects
The BEE Athletic Boosters tailgate party is scheduled for Saturday, January 31, 2008 of Super Bowl weekend.
All teams must provide a basket and Tish O'Dell and Holly Halterman have already sent letters out to Team Reps. They are also seeking any thoughts or ideas for the basket contents and ask that a variety of items are included in each one. Try not to limit them to a particular sport or activity. If you have any suggestions, please email Holly at halterh@ccf.org, or Tish at tisho3161@cox.net. A meeting to discuss the details of the Tailgate will be held immediately following the December 1, 2008 regular meeting.
- New Business
There was a short review of a meeting that took place regarding the future structure of the BEE Athletic Boosters. We need more people to get involved and help in several areas including treasury activities, membership, and concession stands. Another meeting is needed before bringing a proposal to the membership.
The rest rooms at the High School stadium must be cleaned better and more frequently at our athletic events. They also need to be painted, including the floors, and do any other needed repairs to them. We receive constant complaints about their condition. Maria will send an email request to Paul Cevasco to ask for his help.

The meeting was adjourned at 8:10 p.m.
